Build the one document that makes AI sound like you

A knowledge base is a single file that tells AI who you are, who you serve, and what you teach. Skip it and every draft reads like it came from anyone. Build it once, with the 8 Sections framework below, and AI starts writing content that sounds like yours. You get the framework, an extraction prompt, and a fill-in template on this page.

What is a knowledge base?

A knowledge base is a single document that tells AI everything about your brand, content, and business. It's the "who you are" file that gives AI the context it needs to create content that sounds like you.

Without a knowledge base: AI gives you generic output that could come from anyone.

With a knowledge base: AI gives you personalized output that sounds like your content.

The 8 sections every knowledge base needs

Every section answers a question AI would otherwise have to guess at. Here's what goes in each one.

1

Brand Overview

  • What you do (one sentence)
  • Who you are (your background, credentials)
  • Your positioning (what makes you different)
  • Your brand handles (social media, website, newsletter)
2

Target Audience

  • Demographics (age, profession, location)
  • Psychographics (values, beliefs, goals)
  • Pain points (what problems they have)
  • Desired outcomes (what transformation they want)
3

Content Pillars

  • 3-5 main topics you create content about
  • What each pillar covers
  • Example topics under each pillar
4

Your Story & Journey

  • Timeline of key moments in your journey
  • Story beats you reference repeatedly
  • Turning points that shaped your perspective
  • Lessons learned from specific experiences
5

Frameworks & Concepts

  • Key frameworks you teach (name + components)
  • Signature concepts or ideas
  • Definitions of terms you use
6

Products & Services

  • What you sell (courses, coaching, products)
  • Pricing and tiers
  • Who each product is for
  • Key benefits of each
7

Content Formats

  • Platforms you're active on
  • Content types you create (videos, newsletters, posts)
  • Frequency and publishing schedule
  • Format-specific notes (length, style)
8

Tech Stack (Optional)

  • Tools you use and recommend
  • Why you chose them
  • How they fit your workflow

How to create your knowledge base (the easy way)

Don't write it from scratch. Extract it from content you've already created.

Step 1: Gather your best content

Collect 15-30 pieces of your best content:

  • 5-10 newsletter issues or blog posts
  • 5-10 social media posts or scripts
  • 3-5 longer pieces (YouTube scripts, podcast notes)
  • Any "about me" or bio content

Step 2: Use this prompt

Copy this prompt and paste it into Claude, ChatGPT, or your preferred AI tool. Attach your content files.

Extraction prompt
I want you to analyze my content and create a comprehensive knowledge base document.

I'm attaching [X] pieces of my content including:
- [List what you're attaching]

Please analyze all of this content and extract:

1. **Brand Overview**
   - What do I do? (one sentence)
   - What's my background?
   - What makes me different from others in my space?

2. **Target Audience**
   - Who am I creating content for?
   - What are their demographics?
   - What are their pain points?
   - What outcomes do they want?

3. **Content Pillars**
   - What are the 3-5 main topics I create content about?
   - What subtopics fall under each pillar?

4. **My Story & Journey**
   - What key moments or turning points do I reference?
   - What stories do I tell repeatedly?
   - What lessons or insights do I share from my experience?

5. **Frameworks & Concepts**
   - What frameworks, methods, or systems do I teach?
   - What unique terms or concepts do I use?

6. **Products & Services** (if applicable)
   - What do I sell or offer?
   - Who is each product for?

7. **Content Patterns**
   - What platforms am I most active on?
   - What types of content do I create?
   - What's my typical content structure?

Format this as a clean markdown document that I can use as a reference file for future AI-assisted content creation.

Include specific examples from my content to illustrate each section.

Step 3: Review and refine

The AI will generate a first draft. Review it and:

  • Add anything important it missed
  • Correct any misinterpretations
  • Add specific dates, numbers, or details
  • Remove anything that doesn't feel accurate

Step 4: Save as a single file

Save your knowledge base as:

  • [YOUR-NAME]-KNOWLEDGE-BASE.md (markdown)
  • Or [YOUR-NAME]-KNOWLEDGE-BASE.txt (plain text)

Knowledge base template

Prefer to fill it in by hand? Copy this template and work through each section:

*Update this knowledge base as your brand evolves and new patterns emerge.*

Pro tips

  1. Update quarterly — your knowledge base should evolve as you do
  2. Keep it in one file — don't scatter across multiple documents
  3. Be specific — vague descriptions = generic AI output
  4. Include examples — show, don't just tell
  5. Add new stories — as you create content, add new story beats

What's next?

Once you have your knowledge base, create your:

  1. Brand Voice Guide — HOW you communicate
  2. Prompt Playbooks — reusable templates for each content type

These three documents together make your content system AI-ready.
